Monitoring Arrangements

Based on a standard 3 year full-time PhD, the following schedule details the monitoring and progression arrangements in place within the College for research students:

At Month 0 Initial registration to confirm supervisors.
By end Month 3 Initial Personal Development Plan Form to be completed and returned to the College of Physical Sciences Graduate School Office.
At Month 6 The Routine Monitoring Form (Form A)to be completed and returned to the College of Physical Sciences Graduate School Office.

This form confirms the student has:

  • held a PDP meeting with their supervisor(s),
  • agreed their research topic,
  • set milestones for the first year,
  • made meeting arrangements,
  • identified resource requirements,
  • undertaken a training needs analysis,
  • agreed skills training, and
  • begun a course of training.
By Month 9 The student to have (to relevant School/Discipline authority):
  • Submitted a report on their research
  • Provided an account of engagement with specific and generic skills courses
  • Completed and returned Part 1 of the First Year Assessment Form
At Month 10 First Year Assessment Form to be fully completed and returned to the College of Physical Sciences Graduate School Office.

This confirms satisfactory/unsatisfactory status based on the internal monitoring procedures of the School or Discipline. This must include a written report as well as one or more of the following: interview, oral, presentation.

At Month 18 The Routine Monitoring Form (Form A)to be completed and returned to the College of Physical Sciences Graduate School Office.

This includes:

  • a review of research progress,
  • satisfactory completion of training in specified generic skills,
  • confirmation milestones are in place for the second year of study,
  • checks on resource requirements, and
  • checks on ongoing PDP activities.
By Month 21 The student to have (to relevant School/Discipline authority):
  • Delivered a research presentation
  • Provided further evidence of course/seminar/conference attendance
  • Completed and returned Part 1 of the Second Year Assessment Form
At Month 22 Second Year Assessment Formto be fully completed and returned to the College of Physical Sciences Graduate School Office.

This confirms satisfactory/unsatisfactory status based on the internal monitoring procedures of the School or Discipline. This must include the following:

  • presentation to School/Discipline
  • information on skills training activities
  • interview
At Month 30 The Routine Monitoring Form (Form A)to be completed and returned to the College of Physical Sciences Graduate School Office.

This includes:

  • assessment of research progress,
  • skills training,
  • check on resource requirements,
  • confirmation that the student has agreed a thesis plan with their supervisor(s)
  • confirmation that the student has agreed an expected submission date with their supervisor(s), and
  • a copy of the completion timetable (maximum of 1 page attached to the form)
At Month 36 The Thesis Completion Form (Form B)to be completed and returned to the College of Physical Sciences Graduate School Office.

This confirms satisfactory/unsatisfactory status based on progress against thesis plan and expected submission date. a copy of the thesis plan (including an updated completion timetable) is attached to the form.

At Month 42 The Thesis Completion Form (Form B) (if required) to be completed and returned to the College of Physical Sciences Graduate School Office.

This includes:

  • assessment of progress,
  • review of thesis plan,
  • confirmation of the expected submission date to be achieved.
At Month 48 The Thesis Completion Form (Form B) (if required) to be completed and returned to the College of Physical Sciences Graduate School Office.

This includes:

  • assessment of progress,
  • review of thesis plan

Thereafter, students will be expected to complete and return a Thesis Completion Form (Form B) every 6 months until submission

Note: forms are circulated 2-4 weeks prior to assessment dates.
