Once you have decided upon your catering requirements, please follow the instructions detailed in the following pages for either University of Aberdeen Customers, or External Customers.

Notice Periods

For placing, amending or cancelling your internal order, please ensure this is completed and authorised in your Finance System with the following notice periods in mind:

  • Tea, Coffee with/without accompaniment, and cold drinks - 24 hours
  • Sandwiches and soup - 48 hours
  • Sweet Snacks, Fruit or Cheese Platters - 72 hours
  • Finger/Fork/Classic Buffet and Desserts - 72 hours

  • Sundry Items - 24 hours
  • Weekend, out of hours or off campus Delivery - 72 hours
  • Waiting Staff - 72 hours

The cut-off time for all of the above is 10.00am on the deadline date. Requests received after this time may not be accepted.

Please note that weekends, bank holidays and University closure days are not included in this notice period.

Changing Your Booking

Should you need to amend your catering request, please revise your Internal Order within the required notice period, noted below. The revised Internal Order is automatically sent to the Delivered Catering team, who will send an amended confirmation for your records.

  • Tea, coffee and drinks - 24hrs*
  • Sandwiches and soup- 48hrs*
  • Sweet Snacks, Fruit or Cheese Platters - 72hrs*
  • Finger/Fork/Classic Buffet and Desserts - 72hrs*
  • Sundry Items (for example, tablecloths) - 24hrs*
  • Weekend, out of hours or off campus Delivery - 72hrs*
  • Waiting Staff- 72hrs*

When revising the number of people attending the meeting/event, please bear in mind the minimum order requirements and notice period. For example, a buffet requires 72 hours’ notice, otherwise you will receive catering for the original number provided on your current Internal Order and charged accordingly. All orders must be placed and authorised in the Finance System by 10am at the latest, prior to the required notice period.

If you amend an order without sufficient notice, Campus Services reserve the right to charge for the items detailed in the Internal Order. Please note all orders must be placed and authorised in your Finance System by 10am prior to the stated deadline.

Cancelling Orders

If you cancel an order without sufficient notice, Campus Services reserve the right to charge for the items detailed in the Internal Order. Please note all orders must be placed and authorised in your Finance System by 10am prior to the stated deadline. 

Any cancellations must be confirmed by telephoning first, with the Internal Order then cancelled to ensure no charges are applied. Please note that all cancelled internal orders must be authorised in your Finance System within the appropriate notice period.

Terms & Conditions

The University of Aberdeen does not accept liability for any catering items that may have gone missing once delivered, therefore, please ensure you specify a secure location for delivery in instances where it may be unmanned.
