Room Booking

The University has a large number of bookable rooms including

  • lecture theatres,
  • teaching classrooms and
  • meeting rooms for staff.

Events and Speaker Guidance

If you are arranging an event which is not part of our routine academic or administrative business, or doesn’t fall under one of the exemptions listed in the guidance, please fill out the form with information about your event.

AccessAble provides detailed information on the accessibility for University buildings on the Kings College Campus, the Foresterhill Campus, and the Halls of Residence

Central Teaching Pool

The Central Teaching Pool is the main suite of rooms available for teaching activities at the University. The Pool is managed by the Central Timetabling Team.

Rooms available include:

  • Lecture theatres
  • Tutorial and seminar rooms
  • Computer rooms
  • Flexible teaching spaces
  • Laboratories

For a list of rooms with their capacities please see the Room List. You can request a room via the online form. Queries should be sent to roombookings@abdn.ac.uk.

Additional Notes

Please try to give at least 3 working days notice for any room requests. During busy periods last minute requests may not be seen in time.

All evening and weekend bookings are restricted to the MacRobert building, Taylor and New King's wherever possible and must end by 10.00pm.

Catering is not permitted in teaching rooms. If catering is required please let us know so we can look for suitable accommodation for you.

Security are advised of all room bookings to ensure rooms are unlocked as required. If a room you have booked is locked on arrival, please contact Security on +44 (0) 1224 27 3327.

External Hire

Lecture Theatres and Classrooms

The Central Timetabling Team manage a variety of lecture theatres and classrooms available for external hire.

 Please send enquiries to roombookings@abdn.ac.uk and include:

  • Date of booking
  • Start and finish times
  • Capacity required
  • Purpose of booking
  • Type of room required

Evening and weekend bookings are restricted to the MacRobert Building.

All bookings are made in line with the standard conditions of booking.

Students Societies

Aberdeen University Student Association (AUSA) is based in The Students' Union Building. Enquiries should be made to AUSA (ausa@abdn.ac.uk).

If there are no rooms available in The Hub, societies can use rooms from the Central Teaching Pool, subject to availability. AUSA provides the Central Timetabling Team with a list of approved contacts for each society - usually the President, Secretary and Treasurer.

Room bookings requests are accepted only from the approved named contacts. You can request a room via the online form.

Teaching and Meeting Rooms

Teaching Rooms

The Central Timetabling Team are responsible for booking rooms from the Central Teaching Pool above.

You can request a room via the online form. Queries should be sent to roombookings@abdn.ac.uk.

Students wishing to book space for dissertation/project work should approach a supervising member of academic or administrative staff to approve and submit the request on their behalf.

Members of staff can schedule (book) meetings rooms for University business using Outlook or Outlook Web App (OWA).

Is the room free for you to book?

You must check a meeting room’s availability (using Outlook Scheduling Assistant) before submitting your meeting request. Availability is indicated by coloured blocks on the calendar; if the room is ‘Free’, there will be no colour block. Some room requests can only be actioned during working hours.

Is your meeting an ‘All day event’?

When you make your meeting an ‘All day event’, Outlook’s default behaviour is to automatically change the status of the meeting from ‘Busy’ to ‘Free’. In order to prevent other meeting organisers booking the room, you must manually change the status to ‘Busy’.

Sir Duncan Rice Library

Library Meeting Rooms

From 22 May 2017 staff will no longer be able to book meeting rooms in The Sir Duncan Rice Library via Outlook.

All enquiries regarding booking of rooms in the Library should be directed to adminroombookings@abdn.ac.uk.

Inverurie Hub – Bookable Hot Desk Office Spaces

9 bookable hot desk office spaces are now available for staff use at the Inverurie Hub.

We will be trialling an initial pilot of the space with DDIS staff, in advance of making the spaces available to all staff.
