Bitesize Data Protection: guard against inappropriate access to or use of personal data

Did you know that we all have responsibilities to ensure we abide by Data Protection legislation?

As much as the University is responsible for putting the right organisational and technical measures in place, we all need to ensure we are aware of and abide by the University Data Protection policy

Part of our responsibility is to ensure we only access and use personal data for legitimate work purposes. It is important to note that just viewing such data where you do not have the right or need to do so could be a criminal offence, even if you do not further share it. It may also comprise a personal data breach and result in a fine or reputational damage to the University.

We all have access to varying amounts of personal data and systems, depending on our job role. We are trusted to only use the personal data needed to do our job and we need to be responsible in our use of such data.

If you do not have a work reason to look at personal data, you should not access it. If you are unsure, you should check with your line manager or the Information Governance Team.

Where it is identified that personal data has been inappropriately accessed or shared, this will be subject to investigation under the University’s disciplinary procedure, which may result in dismissal and being reported to police.
