Tasks |
Note: Get additional help at any time from within Studentmail, by clicking on the Help icon to access Outlook Live's online help.
Tasks allow you to track anything you choose. For example, you might create a Task to write an essay, and then add a reminder, start date, due date, and notes to the Task; and if you need to do the same Task more than once, you can make it a repeating Task.
Items that you can flag as Tasks include E-mail messages, Appointments and Meetings. Any time you flag an e-mail message, appointment or meeting, a Task is created automatically and will be added to your Task list.
Note: If you delete the message from your Task List, it will also be deleted from your Inbox.
To access your Tasks, click on the Tasks button on the bottom left of the Studentmail screen.

1. Flag an e-mail message as a Task
- From within Mail view, browse to the message you would like to flag.
- Click on the small flag icon next to the date. The flag will turn red, and the message will be added to your Tasks list.

Note: If you right click on the flag icon, you can select properties for your Task from the pop-up menu.

- Go to Tasks view to see the message added to your Task List.

2. Create a new Task
- In Tasks, on the toolbar, click
New.
- Enter a Subject and any other properties that you want to include.
Note: Only a subject is required. All other values, e.g. dates and reminders, are optional.
- If you want the Task to recur, click Repetition
. In the Repetition dialog box, under Repeat Pattern, set the repetition pattern for the Task, and then click OK.
- Click
Save and Close before closing the Task form window.
The following options are available on the toolbar when you create or open a Task.

3. Save a Task
If you make changes to an open Task, click Save and Close or press CTRL+S before closing the Task form window.
To close the Task without saving any changes, click Close on the Task form window. |

4. Open and Close a Task
- Find the Task you want to open, then Open it by:
- double-clicking on it, or
- highlighting it and pressing ENTER, or
- highlighting it and clicking
Edit on the toolbar
- To Close the Task
- without saving changes, click Close on the Task form window.
- so save any changes you've made, click on
Save and Close or press CTRL+S.

5. Modify a Task
- Find the Task you want to modify and open it by:
- double-clicking on it, or
- highlighting it and pressing ENTER, or
- highlighting it and clicking
Edit on the toolbar
- Make the changes you want.
- Click
Save and Close or press CTRL+S.
Note: To close the Task without saving your changes, click Close on the Task form window.

6. Delete a Task
- Find and highlight the Task you want to delete in the Tasks list.
- Click Delete
on the toolbar or press the DELETE key on the keyboard.
Note: You can delete more than one Task at a time:
- To select adjacent Tasks to delete, hold down the SHIFT key and click the first Task, and then click the last Task to select all Tasks in between.
- To select Tasks that aren't adjacent, hold down the CTRL key and click each Task you want to select.

7. Completing Tasks, and Task Status

To mark a Task as Complete
- Find the Task you want to mark as complete.
- Select the check box next to the Task or click Mark Complete
on the toolbar to mark it complete.
- This sets the % complete value to 100 and the Status to Completed.
You can select more than one Task at a time:
- To select multiple adjacent Tasks to mark as complete, hold down the SHIFT key and click the first Task, and then click the last Task to select all Tasks in between.
- After you select the Tasks, click Mark Complete
on the toolbar.
- To select multiple Tasks that aren't adjacent, hold down the CTRL key and click each Task
- After you select the Tasks, click Mark Complete
on the toolbar.
To mark a Task as partially complete
- Find the Task you want to mark as partially complete and open it.
- Enter any value from 0 to 100 in % complete.
- Click
Save and Close to save your changes.
More about Task Status
You can also set the Status on a Task. The default status for a new Task is Not started. Other status levels include In progress, Completed, Waiting on others, and Deferred.
- When you set the percent complete of the Task to anything other than 0 or 100, its status is automatically changed to In progress.
- When you mark a Task as 100% complete, its status is automatically changed to Completed.
- If you mark a Task as 0% complete, its status is changed to Not Started.

9. Set a Repeating Task
If you find tht some Tasks occur regularly over time, instead of creating a new Task for each occurrence, you can set the Task as Repeating.
- Create a new Task, or open one that's already been created.
- On the toolbar, click the repeat icon
.
- In the Repetition dialog box, under Repeat Pattern, check the appropriate radio buttons and checkboxes to indicate how often you want the Task to occur and on what day(s) of the week.
- Under Range of Repetition, select when you want this repeat pattern to start and end.
- Click OK.
- Click
Save and Close or press CTRL+S to save the Task before closing the Task form window.

10. Create Task folders
To help organise your Tasks more effectively, you can create Task folders.
- Right-click on My Tasks in the Tasks navigation pane, and select Create New Tasks Folder... from the pop-up menu

- Name your new Task folder appropriately.
- To move an existing Task to the new folder, click on it once to select and, keeping the mouse button held down, simply drag it into the new folder.

11. Viewing Tasks
The navigation pane in Tasks allows you to select the types of Tasks you want to view. You can also choose to view all Flagged Items and Tasks or only Tasks.
If you create additional Tasks folders, they will appear listed under My Tasks, along with Flagged Items and Tasks and Tasks.
Selecting Flagged Items and Tasks causes all items that you flag (e-mail messages, contacts, and Tasks) to appear in the list of items. The actions that are available for an item depend on the item type. For example, if you select a flagged e-mail message, you can Rply to or Forward it from the toolbar. If you select a flagged meeting request you've received, you can Accept, Tentatively Accept, or Decline it by using the toolbar.
Selecting Tasks limits the list to Tasks only.
In addition to specifying what type of Tasks you want to view, you can specify which Tasks to view based on their status by using the options in the Show section under Tasks. You can choose from the following options:
- All: Shows all items.
- Active: Shows only incomplete items.
- Overdue: Shows only overdue items.
- Complete: Shows only items that are marked as Complete.
