Guide to Using Shared Teaching Space

Room Allocation/Booking and Teaching Timetable

Web Site

The web site for Room Alloction/Bookings and teaching timetabling information is accessed from the University home page. It can be accessed by staff from Staff - Space Management - the online booking form is also located at this point. Students access the same site from Students - Teaching Timetable.

On the timetable site all required information is available: List of Teaching Week Numbers; Can I do - to find out which combinations of courses are possible; Degree Specifications - to detail compulsory core courses for each degree programme; Teaching accommodation - details of rooms in the teaching pool, with size and facilities information

Teaching Timetabling Coordinators

Ensure that the room is allocated for teaching activity at the day/time/week(s) required. Departmental teaching timetable co-ordinators should have ensured that all rooms required have been booked for the correct times and weeks.

Room Usage

The rooms are used at about 30-35% of capacity and get very busy at the popular teaching times 10am, 11am, 2pm and 3pm. If you are organising a new course, or are unhappy with the room you have been allocated it may be that you can have a more suitable room at a different time of the day

Using the Room

There should be a notice in the room detailing the facilities and equipment available with instructions on how to use any facilities available. This notice should also give a telephone number for the AV Unit (2961 at Old Aberdeen and 53813 at Foresterhill).


Leaving the Room

Please leave the room in a tidy and usable state. There are regular complaints from academic teaching staff and users from outside bodies who occasionally book rooms for other uses about the condition of the rooms, mostly about uncleaned boards, litter and furniture moved about.

Fault Reporting

If you have encountered any problem with the room (e.g. no OHP bulk or roll, blackout torn or ripped, microphone not working in the room) REPORT THE FAULT as soon as you have finished using the room. This will ensure the fault is repaired as soon as possible and will not cause you a problem again the next week.
