Monitoring Students Progress

The University’s Student Monitoring System operates throughout the academic year. Any queries regarding monitoring should be addressed to Mrs Pat Rowand, Assistant Registrar [email: p.rowand@abdn.ac.uk or tel: 3505]. If the query relates to an immigration matter it should be addressed to the Tier 4 Team (email: tier4@abdn.ac.uk or tel: 3505).

Students failing to meet the minimum criteria for attendance/performance (as detailed in course handbooks) are reported as ‘at risk’ by the School entering a C6 on the Student Record System.
Students reported through monitoring are sent an email by monitoring@abdn.ac.uk asking them to contact the appropriate School Office with an explanation. The students are given a deadline – 8 days from the date of the email – to respond.
For undergraduate students only. Schools monitor unauthorised entries to (C5) and withdrawals from (C6) courses during weeks 1 to 2 in each half-session. The monitoring emails sent up to the end of week 3 are worded differently to reflect this.
If the student responds to the C6 email and the School is satisfied with the response the School will be able to reinstate the student on the course. If the School is not satisfied with the response the Class Certificate can be refused by entering a C7 on the Student Record System.
Students who fail to respond to the monitoring email by the deadline will be automatically be deemed withdrawn from the course ie their Class Certificate will be refused (C7). The students will be notified of this by email.
Having first reported a student as at risk (C6), and where the student continues to fail to meet the minimum criteria, the School may then straight away refuse a Class Certificate by inserting a C7 on the student’s record. This means that as long as the student has previously received a C6 for the same course the School can straight away insert a C7, ie there is no need to re-C6. See Section 5.1 of the Guidance Note.
Any appeal against the refusal of a Class Certificate is made through the University’s Appeals and Complaints Procedure which does include within that the opportunity for informal resolution through the School. See section 5.4 of the Guidance Note.
Where a student submits an appeal against the refusal of a Class Certificate and the outcome of the appeal is not known at the time of the end of course assessment they should sit the examination.

NB: There is no deadline for Class Certificate refusal for Postgraduate Research students
