IT Services provides email & calendaring facilities via Outlook and Outlook Web Access (OWA). This enables access to email, calendaring, meeting management, task management, personal contact management, access to the UoA staff and resource directory, and notes.
The service is available to Staff (including temporary, honorary and research postgraduates) with a current UoA IT account.

Accessing your mail
- IT Services provides the Outlook mail client as a standard application on your UoA provided desktop or laptop pc enabling access to email & calendaring facilities.
Guides to the functionality of Outlook and how to get the most out of the system are available here. - IT Services provides access to email & calendaring via the web using Outlook Web Access (OWA).
OWA has less functionality than the full Outlook client but allows you to access your email and calendar from anywhere you have access to the internet.
Email Accounts
- Staff email accounts have a mailbox size of 500MB. This allows a reasonable amount of online mail storage whilst ensuring optimum performance of the mail system. Mailbox operability will be restricted when limits are exceeded.
Staff are encouraged to actively manage their email account: deleting email and or large attachments, filing and/or archiving to ensure that it stays within operational limits.
Mail can be archived outside of your mailbox, usually to your H: drive to give greater mail storage capacity. Instructions for email archiving are available here. - Emails are backed up nightly, and can be restored to the most recent version on request. IT Services also retains backups of your mailbox for the last 30 days.
Within the last 60 days IT Services can normally also restore deleted emails to the latest version.
- Additional accounts can be set up to provide the following functionality:
- Generic departmental or project email address
- Resource calendar account for bookable rooms or equipment
- Departmental calendar account for recording of staff availability/holidays

Standard Requests:
Our Service Level Description (SLD) response and action times will be applied to standard requests which are dealt with by the Service Desk. IT support response and action times are available here
Standard Requests Are:
- Creation of UoA staff IT account
- Provide additional email account
- Provide additional calendar account
- Request increased mailbox capacity up to 1GB
- Transfer of, or access to, email held within another account on request of the account owners or in their absence, account owners direct supervisor
- Guidance on use of email and calendaring
- Restoration (recovery from accidental deletion or corruption) of one or more individual emails to a previously backed up state, where possible . We can normally restore deleted items up to 60 days after deletion from inbox) NOTE: Deleted emails can be retrieved using the recover deleted item function in Outlook up to 14 days after deletion.
Additional Services:
- Additional service requests are outside our standard Service Level Descriptions (SLDs) and will be dealt with on a best endeavour basis.
- Currently, there are no defined additional services in relation to this service.
Service Level Details:
- Access to staff IT accounts will be given within 3 working days from confirmation of staff status from Human Resources. IT account details will be sent out to your department in the internal mail unless otherwise requested.
- Activation of your research postgraduate account will be done overnight following the submission of your eregistration form, providing you are fully matriculated in Student Records.
