Submitting Research Material to the Archive

There are two routes to submitting research material to AURA:

Copyright: regardless of the route you choose to submit material to the archive it is your responsibility to ensure that you have the appropriate copyright to deposit the material and make it publicly available.

Acknowledgement: of small publishers who provide copyright clearance but who are not on the SHERPA list.


Self-Archiving

To self-archive you must do the following:

  1. Register within AURA.

  2. Be assigned to the Collection(s) to which you propose to submit.

  3. Read and agree to the AURA Deposit License.

To register:

  1. Go to My Aura.

  2. If you are a new user - click on Click here to register.

  3. Enter your University computer userid, password and e-mail address, then click Register.

  4. Refer to the list of Collection Managers. If there is no contact name supplied, e-mail the appropriate Library contact for your subject area to discuss your requirements.

  5. Send a request to the relevant Collection Manager for your name to be added to the list of those permitted to submit to the Collection of your choice.

    If you don't see an appropriate community, please contact the AURA User Manager to find out how you can get your community set up in AURA.

  6. The Collection Manager will then arrange with the AURA User Manager to set up the necessary authorisation to enable you to submit to the archive.

  7. You will be informed by e-mail when the authorisation process is complete.

Submission process:

Submission to AURA is a multi-stage, mediated process that may involve a number of individuals. There will be a delay before your submission appears because it has to be checked and approved by those responsible for maintaining the Collection(s).

During the submission process you will be asked to enter basic information describing your submission. If, for example, you cannot find the correct item type in the list provided contact the AURA User Manager. Details of the process and examples of the required data can be found in the Submit section of the Help file available through the AURA Help Sub-Menu.

Please ensure that you are familiar with the process before starting a submission.

Once your submission has been approved through all stages in its Collection Workflow you will be informed by e-mail that it has been accepted within the archive and assigned a unique handle for future reference.

AURA Deposit Service

The AURA Deposit Service submits material to the archive on your behalf. There will be a delay before your submissions are available on the public domain because they have to be checked and approved by those responsible for maintaining the Collection(s).

Submission process:

It is not necessary to formally register your University login details in order to submit material by this route. The AURA Deposit Service will seek approval for publication from the appropriate Collection Manager on your behalf.

For added security the deposit service will convert your file(s) to a PDF (portable document format). Please inform the AURA Deposit Service if this file format is inappropriate.

  • E-mail an electronic copy of your submission (as an attachment) to: aura.deposit@abdn.ac.uk

    Copy, paste and complete the following essential information about the submission into your e-mail message:

    AURA Deposit Service
    Please submit the attached file to AURA. The bibliographic details are as follows:

    Author(s):
    Title:
    Publication details:
    (e.g. full journal title, date, volume, issue, page numbers)
    Subject keywords:
    AURA Community:
    AURA Collection:

Copyright

Regardless of the route you choose to submit material to the archive it is your responsibility to ensure that you have the appropriate copyright to deposit the material and make it publicly available.

Copyright and self-archiving

The databases below list publishers and journal titles that can be made available on AURA without further action with regard to obtaining appropriate copyright clearance.

SHERPA (by publisher)

Eprints (by journal title)

Academic Journal Policy Database (database of links to publishers’ journal policies)

Copyright and the AURA Deposit Service

When your submission is made through the AURA Deposit Service, Library staff will undertake to check its copyright status. Where they are unable to establish the copyright status of your material, either through the information you provide or by reference to such lists, they will not submit it to AURA. It will be returned to you until such time you are able to obtain copyright clearance.

If you are in any doubt about you responsibilities with regard to copyright, please contact the AURA User Manager.


Acknowledgement

Due to difficulties in maintaining links to publishers' web sites we propose to acknowledge copyright clearance granted by small publishers, who are not included on the SHERPA list, by the following form of words:

"The author(s) wish to acknowledge <name publishing company> for granting permission to deposit this paper in AURA."

This statement will appear in the description field of the bibliographic record.
